HOW DOES MY BODY ROCKS COLLECT AND USE MY INFORMATION?

When you register to make any booking at My Body Rocks Limited we collect contact information such as address, phone number, emergency contact details, e-mail address and student information such as student name, medical condition and comments. Some of the information is required and is noted with a red asterisk on the forms. This information is needed to manage studio business and will not be used or sold for any other purpose, except as described below. Some of the information is optional (NOT marked with a red asterisk). Optional information is requested to help us better understand our customers and is used only as needed for studio business. This information will not be used or sold for any other purposes, except as described below.

 

We may from time to time take images or recordings of member contributions during lessons, the use of these can be found within the “Recording of Member Contribution Policy” which can be found on our website and within the Waiver at the point of creating an account on Groovio our booking system If you have any questions about our Privacy Policy or if you wish to update or remove any of your personal information, please email hello@mybodyrocks.co.uk

CCTV and Audio-Visual Surveillance
 

My Body Rocks Pole and Aerial Studios uses CCTV systems at its studio locations to help protect the safety and security of members, visitors, instructors and staff, safeguard premises and equipment, deter and investigate crime, and assist in investigating incidents, accidents, safeguarding concerns or complaints where appropriate.
 

What we record

Depending on the studio location and the system in operation, CCTV may record both video images and audio. 
 

Where My Body Rocks determines the purposes and means of CCTV processing, the lawful basis will generally be our legitimate interests in maintaining a safe and secure environment, protecting property, preventing and investigating crime, and addressing relevant incidents. We consider these interests against the privacy rights and freedoms of the individuals recorded.
 

Management of CCTV systems

CCTV systems at our studios are managed as follows:

• Crawley: The CCTV system is fully controlled by My Body Rocks.

• Reigate: My Body Rocks controls CCTV covering the studio areas and reception. CCTV in communal areas is managed by the landlord.

• Bookham: The CCTV system is fully managed by The Space.

• Cobham: The CCTV system is fully managed by New Wave (The Box).

• Guildford: The CCTV system is fully managed by The Art Centre.

The organisation responsible for operating a particular system may vary by location and area. Where another venue operator or landlord manages a system, its responsibilities for operating that system and handling the associated recordings will depend on the arrangements in place.
 

Access, disclosure and security

Access to CCTV recordings is restricted to authorised individuals with a legitimate need to access them. Recordings may be disclosed to the police, law enforcement agencies, insurers or other relevant parties where necessary and lawful, including in connection with an investigation, legal claim or legal obligation.
 

Retention of recordings

CCTV recordings are normally retained for either 30 days, depending on the studio location and system, after which they are securely overwritten or deleted in accordance with the applicable retention arrangements. Where specific footage is required for an incident, investigation or legal claim, it may be retained for longer where necessary and lawful.

 

Retention of CCTV Recordings – My Body Rocks Limited Managed Systems

For CCTV systems managed by My Body Rocks Limited, we use a dual-retention system designed to maintain the security and integrity of recordings. Recordings are stored locally for up to 30 days, with a separate secure cloud backup retaining recordings for up to 7 days. Both storage methods are protected by appropriate security measures designed to safeguard recordings against unauthorised access, disclosure, alteration or loss. Recordings are automatically overwritten or deleted at the end of their respective retention periods, unless specific footage needs to be retained for longer where necessary and lawful for an investigation, incident or legal claim.
 

Your rights and CCTV requests

You may have rights under data protection law in relation to recordings in which you appear, including the right to request access to your personal data. Requests are subject to applicable legal requirements and may require consideration of the privacy rights of other individuals appearing in the footage.
 

For all CCTV enquiries and requests, including requests for access to recordings, please contact My Body Rocks using the contact details provided in this Privacy Notice. We will assess your request and, where necessary, liaise with the relevant landlord or venue operator responsible for the system.
 

We will handle requests in accordance with applicable data protection legislation. Footage may not be available if it has already been overwritten in accordance with the relevant retention period.
